Registers
-
This is an important audited document and must be completed carefully on a regular basis.
You should:
- Online registers will be used for funded courses and must be marked with 24 hrs. Tutors will be supplied with logons.
- Hard copies of Registers must be signed by the tutor at every session delivered. There is a box at the bottom of each week which must be signed for Hampshire Achieves registers
- Mark the register at the start of each lesson with a stroke for each person present and a zero to indicate absence
- If a learner is late please record how many minutes late they were
- Add up the number of students attending each week and initial at the bottom
- Hand in your register at the end of each lesson.
- A list of codes is supplied within registers for tutors to use to inform the centre of the reason for learner absence
- Please do not record learners’ personal details (e.g. addresses, telephone numbers) on the register as it is important that confidentiality is maintained.
- If a learner does not complete the course this should be indicated on the register and the date of withdrawal should be given.
PLEASE DO NOT TAKE THE REGISTER HOME WITH YOU
In case of an emergency evacuation, take the register with you to check everyone has evacuated safely.

Tutor File
-
Your tutor file is an important element of your teaching role.
You should keep copies of your planning documents in it as well as documents relating to learner assessment and record of progress.
You should be able to present this to your centre manager or observer should they visit your session.
These will also need to be given to your centre manager at the end of the course, and will be used for Hampshire Achieves Quality Audits.
To help you ensure you have the correct documentation in place we have produced a tutor file check list (QD1) which can be found in the quality documentation section of the VLE
